Executive Assistant

What You’ll Be Doing

The successful candidate will work directly with the Founding Partner and CEO, helping him screen and draft responses to all his emails, prepare company summaries, proofread documents, oversee outstanding items, set-up conference calls, and manage his agenda, including domestic and global travel.

Less than 1/3 of the job is managing his calendar or arranging travel. The job is heavily focused on responding to emails on behalf of the Founding Partner and CEO by  acting as another set of ears and eyes with clients. These emails will need to be grammatically perfect, as they are going to the presidents of Fortune 500 companies. This individual will also need to be very smart and with a great memory, as they will need to remember specifics of a large volume of clients.

This individual will be responsible for preparing contracts based on templates in conjunction with the CEO, as well as documenting all incoming/outgoing emails and calls into the client relationship management software (CRM), as well as other various administrative tasks.

This position is very dynamic, with no two days every being the same. This is a great opportunity to work in a lean, flat organization, and learn many different industries. This a great position for someone that is looking to learn.

What You’ll Need

  • 5 + years of experience as an executive assistant supporting C-level executives
  • Bachelor’s degree or higher
  • Impeccable English grammar and writing skills
  • Extremely strong attention to detail
  • Extensive experience with business correspondence, documentation, contracts, and financial information
  • Excellent memory
  • Advanced Microsoft Office Suite 2010,
  • specifically Outlook and Word, MS Excel
  • Multi-tasker, with a high level of professionalism and the ability to work well under pressure
  • Team player, willing to assume general office tasks as needed, such as answering the phones etc. Willing to work longer hours when needed
  • Legal contract experience (an asset)
